The management of Gardening East Ham is committed to protecting the health, safety and welfare of employees, contractors and the public involved with or affected by our gardening and grounds maintenance activities. This policy sets out responsibilities, safe working practices and the standards we expect when delivering gardening services in East Ham and surrounding areas. We promote a positive safety culture, ensuring risks are assessed, controlled and reviewed so that our East Ham gardening teams work safely and efficiently.
Purpose and Scope
This policy applies to all staff, subcontractors and temporary workers engaged by the company while carrying out gardening and landscaping work. It covers typical services such as lawn care, hedge trimming, planting, tree pruning, hard landscaping and routine maintenance. The document is not a substitute for specific risk assessments or method statements prepared for particular jobs; instead it provides the framework for safe delivery of gardening services East Ham clients expect.Responsibilities
All employees must take reasonable care for their own health and safety and that of others. Managers are responsible for ensuring staff receive appropriate training, personal protective equipment and supervision. Supervisors will check that work is planned, risk assessments exist, and control measures are implemented. The company will provide resources to maintain safe equipment and will act promptly on reports of hazards or near misses.
Risk assessment and safe systems of work: before starting any task a site-specific risk assessment must be completed and recorded. This should identify hazards such as moving machinery, tool use, hazardous substances, traffic, utilities and environmental conditions. Where risks cannot be eliminated, control measures will be used in order of priority: eliminate, substitute, engineer controls, administrative controls, and finally personal protective equipment.
Controls will include safe working distances, exclusion zones for public access, clear signage, and the use of competent operators for powered equipment. We require written method statements for high risk tasks such as tree surgery, working at height and the use of pesticides. Anyone asked to perform work they consider unsafe must stop and report immediately to their supervisor.
Tools, Equipment and Plant
All tools and machinery must be inspected before use and maintained in a safe condition. Portable power tools will have current electrical safety checks and be used with appropriate guards and RCD protection. Mowers, chainsaws, shredders and other powered equipment may only be operated by trained staff holding the necessary competency certificates. Fuel and oily rags will be stored safely to minimise fire risk.
PPE, Chemicals and Manual Handling: appropriate personal protective equipment is mandatory and includes gloves, eye protection, high-visibility clothing, hearing protection and safety boots. For specific tasks additional PPE such as chainsaw trousers, face shields or harnesses may be required. The company maintains a register of approved pesticides and herbicides and implements COSHH precautions where chemicals are used. Manual handling assessments will be carried out for lifting and transporting heavy items, and mechanical aids used wherever practicable to reduce strain and injury.
Working at height and lone working: work at height will be planned to minimise risk, using suitable access equipment and edge protection where needed. Ladders are used only for low-risk, short duration tasks with appropriate controls. Lone working is avoided for high-risk activities; when unavoidable, supervisors will ensure robust communication and check-in procedures are in place. Emergency arrangements are clearly defined so help can be summoned quickly in the event of an incident.
Training and competence: the company provides induction, regular refresher training and task-specific instruction to ensure staff competence. Training records are maintained and reviewed to identify further development needs. New equipment or revised procedures are introduced only after training and demonstrations have been completed. We encourage an open culture where staff raise concerns and suggest improvements.
Incident reporting and investigation: all accidents, near misses and dangerous occurrences must be reported promptly. Investigations will identify root causes and lead to appropriate corrective actions to prevent recurrence. Records will be kept, trends monitored and lessons shared across the team. Where necessary, changes to risk assessments and working methods will be implemented and communicated.
Monitoring, review and continuous improvement: the policy will be reviewed annually or when significant changes occur to operations, legislation or after major incidents. Audits and spot checks are carried out regularly to ensure compliance.
